If you require a visa to enter Denmark, please read the following guidelines carefully. This document outlines the steps for obtaining a short-stay Schengen visa (Type C) for the purpose of attending an academic conference.

 

Do I Need a Visa?

Citizens of many countries, including EU/EEA nations and several others (e.g., USA, UK, Australia, Japan), do not need a visa for short stays (up to 90 days in a 180-day period).

If your country does require a visa to enter the Schengen Area, you must apply for a short-stay visa through the Danish embassy or consulate in your home country.

Required Documents

You must prepare the following:

  1. Completed visa application form
  2. Valid passport
    • At least two blank pages
    • Valid for at least 3 months after your intended departure
  3. Passport-sized photos
    • Recent and compliant with Schengen photo standards
  4. Letter of invitation
    • Issued by the conference organizers at Roskilde University (see below)
  5. Proof of accommodation
    • Hotel reservation or confirmation of lodging in Denmark
  6. Proof of travel
    • Flight reservations (round trip)
  7. Travel insurance
    • Minimum coverage of €30,000, valid in all Schengen countries
  8. Proof of funds
    • Bank statements or employer letter showing financial means during your stay

 

Invitation Letter

Include the following information:

  1. Full name (as in passport)
  2. Passport number
  3. Date of birth
  4. Nationality
  5. Country of residence
  6. Institutional affiliation
  7. Role in the conference (e.g., presenter, attendee)

We will issue a signed letter in PDF format confirming your invitation, event details, and your role as a participant.

 

When to Apply

Apply at least 4–6 weeks before your intended departure date. Visa processing times may vary depending on your country and the season.

 

Where to Apply

You must apply at the Danish embassy or consulate in your country. In some countries, Denmark uses external visa service providers such as VFS Global.
